The following points should be kept in mind while writing a formal letter-

The prescribed format should always be followed for writing a formal letter. The use of colloquial words, simple speech, and language should be restricted while writing the letter. A formal letter should be explained by the correct point. The subject line is very important in a formal letter.

The format of a formal letter is as follows.

1. The sender’s address and contact details should be mentioned here. If necessary, you can write one of your contacts like email and phone number.
2. The date should be written below the sender’s address leaving a space or line.
3. The address of the recipient such as the address of the Officer/Principal/Editor, etc. is written here.
4. Subject of the letter, the main purpose of the letter should be written in one line of the subject for which the letter is written.
5. Greeting should be like (Sir/Respected Sir/Madam).
6. Body of the letter: Here it should be written in 2 or 3 paragraphs as follows.
   A. Introduce yourself and briefly introduce the purpose of writing the letter.
   B. Give a brief description of the case.
   C. End by mentioning what you want.
7. Complimentary closing.
8. Name, signature and designation of the sender’s address (if any)
